Who we are
Coast is a customer relationship tool for field sales representatives, operated by Latitude 47 LLC, an Idaho limited liability company. This policy explains what Coast collects, how it is used, where it goes, and how to get it removed.

Two kinds of people are described in this policy
Reps are our users. You create an account, you sign in, you use Coast to manage your work.
Customers are the homeowners and prospects whose information a rep enters into Coast. Customers do not have Coast accounts and did not agree to these terms. A rep enters this information in the course of their employment, and their employer determines what may be collected and how long it is kept. Coast stores and processes that information on the rep's behalf.
If you are a homeowner and want to know what a company has stored about you, contact the company you did business with. If you believe Coast holds your information and want it removed, write to us at the address above and we will work with the rep or their employer to handle it.
What we collect
From reps
- Name and email address, provided at sign-up and managed by our authentication provider
- Account settings, including compensation plan details you choose to enter
- Usage activity within the app
From reps, about customers
Whatever a rep enters or uploads. In practice this includes:
- Name, phone numbers, email addresses, and property address
- Property details such as year built, window material and age
- Deal information: products, pricing, financing, deposit, order numbers
- Appointment and installation dates
- Notes, dispositions, and follow-up records
- Uploaded documents and images, including screenshots, agreements, and photographs
- Voice memo transcripts
Usage measurement
We use Vercel Analytics to count page views across the site and the application, so we can see which parts of Coast are actually used. It records the page visited, and nothing else. It does not use cookies, does not follow you across other websites, and never receives customer information, rep names, or email addresses.
What we do not collect
Coast does not use advertising trackers or advertising pixels. We do not sell data, do not share information with data brokers, and do not buy or append third-party data to customer records.
How information is used
Coast uses the information a rep enters to do the job the rep is paying for:
- Extract structured details from uploaded documents and images so the rep does not retype them
- Match new information to existing customer records
- Build a timeline of activity on each customer
- Draft follow-up messages in the rep's own voice
- Calculate commission and performance figures from reports the rep uploads
That is the whole list. We do not use customer information for any purpose outside the rep's own workflow.
Artificial intelligence
Coast uses AI to read documents, transcribe voice memos, and draft messages. Two providers are involved.
Anthropic (Claude) processes uploaded documents, images, and text to extract structured data and generate message drafts. Coast operates under a zero data retention agreement with Anthropic: the content sent for processing is not retained by Anthropic after the request completes, and customer information is never used to train any AI model.
OpenAI (Whisper) transcribes voice recordings. Only the audio is sent. No database fields, customer names, or account information accompany it.
AI-generated drafts are suggestions. A rep reviews and edits every message before sending it, and Coast never sends anything on its own.
Coast does not contact your customers
This is worth stating plainly, because most tools in this category do the opposite.
Coast drafts messages. The rep copies them and sends from their own email account or their own phone. Coast has no outbound email or SMS capability and does not transmit anything to a customer. The rep is always the sender.
What we store, and what we discard
Documents and images uploaded for data extraction are not stored. A screenshot or PDF is sent for processing, the structured data is extracted, and the file is discarded. Only the extracted text is kept.
Voice recordings are not stored. Audio is transcribed and discarded. Only the transcript is kept.
Images a rep attaches to a customer timeline are stored in a private storage bucket. These files are not publicly accessible and cannot be reached without an authorized, time-limited link generated for the rep who uploaded them.
Everything else — customer records, timeline entries, deals, orders, notes — is stored in our database, encrypted at rest.
Who else touches this data
Coast runs on infrastructure operated by these companies. Each one processes data only to provide its service to us.
| Provider | Role | What it receives |
|---|---|---|
| Supabase | Database and file storage | All stored customer and account data |
| Vercel | Application hosting | Requests passing through the application |
| Vercel Analytics | Usage measurement | Page view counts only — no personal or customer data |
| Clerk | Authentication | Rep account details only — no customer data |
| Anthropic | AI extraction and drafting | Document content and text sent for processing, under zero retention |
| OpenAI | Voice transcription | Audio recordings only |
We will update this list if it changes.
Access controls
Every rep sees only their own customers. Access is scoped to the signed-in account at both the application and database layer. One rep cannot query, view, or export another rep's customer records.
Where Coast is deployed for a company, a designated administrator may see rep account status and reassign customer records when a rep leaves — for example, so that a departing rep's customers are not stranded. Administrators do not get a window into individual customer records or rep activity.
How long we keep it
Coast keeps information until it is deleted.
When a rep deletes a customer, the record is permanently removed. This is not a soft delete or an archive. The customer record, their entire timeline, associated deals and orders, and any images attached to their timeline are all deleted. Nothing is retained.
When a rep's account is closed or deactivated, every customer record that rep created is deleted along with the account.
We do not maintain backups of deleted records for our own purposes. Our infrastructure providers may retain routine system backups for short periods under their own policies.
Your rights
Depending on where you live, you may have the right to request access to your information, request correction or deletion, or object to certain processing.
Reps can view, edit, and delete their records directly in the app at any time. Customer records entered in the course of employment belong to the employer, so Coast does not provide bulk export of customer data to individual reps. For questions about your own account information, write to us.
Customers whose information is held in Coast should first contact the company they did business with, since that company decides what is collected and retained. If you cannot reach them, write to us and we will help.
We respond to requests within 30 days.
Security
- Data is encrypted in transit and at rest
- Authentication is handled by a dedicated provider; we never store passwords
- Access to customer records is scoped to the owning rep at the database layer
- File storage is private, with no publicly readable buckets
- Every action on a customer record is logged with a timestamp
No system is perfectly secure, and we will not claim otherwise. If a breach occurs that affects your information, we will notify affected users and comply with applicable notification requirements.
Children
Coast is a business tool for working sales professionals. It is not directed at anyone under 18 and we do not knowingly collect information from children.
Changes
If we change this policy in a way that materially affects how information is handled, we will notify account holders before the change takes effect. The date at the top reflects the most recent revision.
